Overview

The Platform Deal Room is the signed-in workspace for clients and SalesHive staff for launch progress, bookings, resources, agreement history, and public-share review. For every current client in Onboarding or Active, the authenticated room keeps Sales Playmaker available throughout delivery. Sales prospects still require the configured stage visibility plus a durable Deal Room or signed-agreement milestone. Playbook Review booking uses the shared onboarding calendar and the resolved host calendar, so company blocks, holidays, and host conflicts are excluded before a time is shown or saved.

How to use this page

  1. Select a client

Open Platform > Onboarding > Deal Room and select a client with the sidebar client selector. The page renders that deal’s room.

  2. Open the room from a specific link

A valid authenticated Platform link verifies access, opens the correct deal, and synchronizes the active client context while the interactive room finishes loading.

  3. Understand a public review link

A public /room/share link is scoped to one deal and can expire or be revoked. It can show a proposal and allow signing when the current stage permits it and the agreement is unsigned. Meeting and account actions require signing in. On a wide screen the SalesHive logo sits at the top of the Launch Timeline sidebar. It opens in Light unless the browser already has a saved theme, and recipients can switch between light and dark with the sun or moon button beside the Your Team heading.

  4. Review engagement carefully

Public-share engagement is recorded for the shared room so the team can understand review activity. It is awareness data, not a substitute for a confirmed client action.

  5. Review the launch timeline and cards

Review milestones, bookings, recordings, assigned team members, and resource links for the selected deal. When agreements are available, Agreement History preserves each signed agreement, marks the current agreement, and opens the selected signed document in a separate tab. In the Launch Timeline, completed steps show a check mark, upcoming steps show an open circle, and the current step reads In Progress. Neighbouring stages with the same name, such as Intro Meeting, show as one step. A current Playbook step reads Being prepared until the Playbook is shared with the client. On a wide screen, the timeline and the Your Team and Resources column stay in place while you scroll the main content.

  6. Choose a plan and sign the proposal

When a proposal is shown, any Intro and Demo meeting cards come first, so their recordings and booking buttons stay above it. The proposal follows, then the later meeting cards (Proposal Review, Kickoff, Playbook Review and Pre-Launch). The proposal opens with the SalesHive hexagon, today's date, the title Sales Development Proposal and the company it was prepared for. Under Choose your plan, select a plan row (or focus it and press Space or Enter) to check it; each row shows its price per month. Fill in Company, Signee Name and the billing details, select Click to sign to add your signature, and accept the electronic-signature agreement. Check the total beside the button, then select Confirm & Sign Agreement. If something is missing, a note above the button says what to add first. On a standard no-deposit proposal, the button reads Sign & start free onboarding instead (see the FAQ below).

  7. Schedule a Playbook Review

Choose Schedule for a new Playbook Review, or Reschedule on a previous review. If the card contains only an old recording and no booked appointment, Reschedule opens the new-time picker directly. For a booked appointment, Confirm reschedule cancels it and notifies attendees before opening the picker; Keep meeting leaves it unchanged. Review the carried-over invite recipients. Offered times exclude shared onboarding and host-calendar conflicts, including company blocks and holidays. Check the host name and meeting length, choose a time, then Confirm Booking. Changing the time zone clears your chosen time and reloads the offered times. Availability is checked again before saving. A future booking stays separate from earlier recordings.

  8. Open Playmaker throughout client delivery

For a selected client in Onboarding or Active, use the Sales Playmaker card or the Sales Playmaker resource to open the deal questionnaire at any current stage. The client-pipeline rule keeps it available before kickoff, during playbook work, and after launch even when the current stage does not enable the older stage-level Playmaker setting. Sales-pipeline prospects still follow stage visibility and Deal Room or signature milestone rules. Read-only public review shares do not expose this authenticated action.

  9. Choose your preferred appearance

In the signed-in room, use the theme button in the icon row at the bottom of the sidebar (on a phone, in the top bar) to switch between light and dark mode; the room has no separate toggle. On a public share link, select the sun or moon button beside the Your Team heading instead. The choice is saved in this browser as your app theme, and the room, its dialogs and the proposal follow it. With no saved choice, the room opens in Light. Behind the cards, the signed-in room shows your app background; change it with Background in the sidebar. A public share link uses the background saved in this browser if you are signed in, or the SalesHive default background if not.

What the buttons do

Select Client
Sidebar client selector that scopes the Deal Room to the selected deal.
Open Playmaker
Opens the selected deal Sales Playmaker. It remains available throughout Onboarding and Active in the authenticated room.
Schedule / Reschedule
Opens meeting booking in the signed-in, editable room. Playbook Review keeps Reschedule available after completion or recording. With only historical recordings and no booked appointment, it opens the new-time picker directly; a booked appointment requires cancellation confirmation first.
Confirm reschedule / Keep meeting
Confirm reschedule cancels the existing meeting and notifies attendees before opening the new-time picker. Keep meeting dismisses the notice without canceling.
Confirm Booking
Rechecks availability for the selected meeting type before creating the booking and sending invites. Requires a valid prospect email and an offered time that still meets calendar, duration, buffer, notice and kickoff-limit rules. An already scheduled future meeting must use Reschedule first. It stays unavailable while times are loading or could not load, and the booking window cannot be closed while it is scheduling.
Recording / Transcript
Recording opens a completed meeting recording when playback is ready; Transcript opens its saved transcript. When a meeting has several recordings, each button shows that recording's date, such as Recording Aug 20, with the time added when two fall on the same day. In the transcript dialog, select Download to save a .txt file. Focus starts on Close transcript; Tab and Shift+Tab stay within the dialog. Press Escape or select Close transcript to close it and return focus to the button that opened it.
Agreement History
Lists signed agreements for the deal and identifies the current agreement. Open a document to review its saved terms. Newly signed documents include the billing terms applied at signing, including standard terms when no custom billing wording was saved. The signed agreement page offers Download PDF; View in CRM appears there only for SalesHive staff.
Light / dark toggle (public share link)
Sun or moon button beside the Your Team heading on a public share link (below the timeline on a phone). Select it to switch between light and dark mode; the choice is saved in this browser as your app theme. In the signed-in room, use the theme button in the app sidebar instead. With no saved choice, the room opens in Light.

Common questions

A valid public share can allow proposal signing when the current stage permits it and the agreement is unsigned. It does not expose meeting booking, Playmaker or other account editing controls; sign in for those actions.
Yes. Public shares can expire or be revoked, so a previously issued link is not permanent.
It preserves the signed agreements available for the deal. The current agreement is marked for clarity, and each item opens its signed document in a separate tab.
Signed agreements and deal attachments are private. Direct file links require an active account with access to the owning deal or client workspace. SalesHive staff must have CRM access to that deal; Playbook visibility alone is not enough to open the signed-contract page. If access is refused, check the current account and deal access. A public review share does not expose signed agreements. Where an authorized room provides a temporary file link, it lasts 24 hours; reopen that room for a fresh link.
It records interaction with the shared room for review. It does not by itself confirm approval, payment, or another client commitment.
The selected deal is a current client in Onboarding or Active, so the authenticated Deal Room keeps Playmaker available throughout delivery. The older stage visibility rule still controls Sales prospects before they become clients.
The slot may overlap a company block or holiday on the shared onboarding calendar, or a conflict on the host calendar. On daylight-saving change dates, the picker also omits skipped clock times and ambiguous later occurrences. The full meeting duration must fit before the host availability ends, even when clocks change. Choose another offered time.
For "That time is no longer available", reopen the booking form to refresh availability and choose another offered time. For "Calendar availability is temporarily unavailable", try again later; if times fail to load, use Retry. These availability errors create no new booking or invite. If you already confirmed a reschedule, the original meeting was canceled before this check and is not restored; you still need to confirm a replacement.
Yes. In a signed-in, editable room, select Reschedule on the old Playbook Review. If only a historical recording remains and no appointment is booked, the new-time picker opens directly without canceling the old recording. If an appointment is booked, review and confirm its cancellation first. Saved invite recipients carry into the picker. A future booking stays scheduled and joinable when its room link is available, while earlier recordings remain available separately.
The SalesHive hexagon with today's date beside it (on a narrow window or phone, where the panels stack, the full SalesHive logo), the title Sales Development Proposal and the company it was prepared for. The same date fills Date Accepted in the signing area. The header does not change plan selection or signing. When you can only review the proposal, the plan list is labeled Your plan options instead of Choose your plan.
This box shows when the proposal uses the standard no-deposit terms with no redlines or separately negotiated billing wording. It says no deposit or payment is due unless you approve launch. Signing starts onboarding, and launch is a separate decision you make after reviewing everything. The signing area is titled Start with free onboarding and shows Due now $0 with the monthly price after launch approval, the proposal total reads Monthly total after launch approval, and the button reads Sign & start free onboarding. Proposals with a deposit or negotiated terms keep Make it official, Monthly total and Confirm & Sign Agreement.
The room follows your app theme, including its loading screen, error messages, dialogs and the proposal signature box. In the signed-in room, change it with the theme button in the icon row at the bottom of the sidebar (on a phone, in the top bar). On a public share link, use the sun or moon button beside the Your Team heading. The choice is saved in your browser as your app theme. If none is saved, the signed-in room and public share links open in Light. Behind the cards, the signed-in room shows your app background, which you change with Background in the sidebar. A public share link shows the background saved in this browser when you are signed in, and otherwise the SalesHive default background.
The Deal Room opens for a self-serve workspace only while SalesHive has a managed service proposal open for it. Its link then appears in the Onboarding folder, and signed-in members see the proposal and can sign it; public share links never show it. There is no launch timeline. Without an open proposal the link is hidden, and opening the page goes to Get set up, or to Contacts if the member cannot open the checklist. Signing moves the workspace to Onboarding and ends its self-serve plan at the close of the billing period.
The Playbook is the current step but has not been shared with the client yet, so it cannot be opened. The step switches to In Progress once the Playbook is shared.
Intro and Demo meetings and Proposal Review last 30 minutes; Kickoff lasts 90 minutes; Playbook Review and Pre-Launch last 60 minutes. These lengths are fixed for the meeting type, even if the host has a different default booking duration. Offered times must fit the full meeting before the host availability ends and avoid calendar conflicts, existing meetings and any applicable buffer and minimum notice. A saved minimum notice of zero allows same-day times when the other checks pass. A saved buffer of zero adds no extra gap between meetings. Kickoffs are limited to two per Eastern calendar day. These checks run again when you confirm. If no times are available, choose another date. If times fail to load, use Retry. For meetings other than Playbook Review, a saved kickoff also blocks its recorded calendar owner for 90 minutes, even after assignments change or the external calendar copy is missing. Older kickoffs without a saved owner use onboarding-specialist routing, not the assigned strategist. Playbook Review continues to use its host and shared onboarding calendars.
Intro, Demo and Proposal Review use the assigned sales rep, except that Buzz-owned deals use the designated active human sales host. Buzz remains the CRM owner. If that human host is unavailable or has no email, booking stops for staff review instead of using Buzz as the calendar host. Kickoff uses the assigned onboarding specialist, or the designated onboarding fallback if no specialist is found. A new Playbook Review uses the assigned strategist when an email is available, otherwise the shared onboarding calendar. An already scheduled review keeps its saved calendar owner; older reviews without one use the shared onboarding calendar. Pre-Launch uses the strategist, or the sales rep if no strategist is assigned. The availability picker and booking use the same host rules. Check the host name beside the meeting length before confirming.
Ask your SalesHive team to check the host assignment and email, then reopen the booking form. No booking or invite is created for this error. A missing Kickoff or saved Playbook Review host does not automatically switch the meeting to the sales rep. A host record with an empty email also prevents booking.
Reload the Deal Room and review the saved appointment. If it is already scheduled, use Reschedule and review the cancellation notice. If you see "This meeting changed. Refresh the Deal Room before rescheduling.", the changed appointment was not canceled by that attempt. Refresh before deciding whether to reschedule it.
Yes. On a narrow screen the room shows the main content first, then the Launch Timeline, then Your Team and Resources below it. The SalesHive platform deck in Resources is built for landscape, so on a phone held upright it asks you to rotate. Turn the phone sideways for larger slides, or select View in portrait to keep reading upright with smaller slides.
The page shows Unable to open this deal room (or Deal room not found) with the reason. Select Try again to reload it. If it says to sign in again, select Sign in. If it says this account does not have access, sign in with the invited account for this client. Return to SalesHive leaves the page.
